How to Export Reports and Sales Data for use in Accountancy Packages.
AirPOS is now integrated with Xero. If you use a different accountancy package such as Quickbooks or Sage but sales and reporting data is exportable in .CSV (Comma Separated Variables) files which can be opened in a spreadsheet and copied into your accountancy software.
Exporting Individual Line Sales.
A simple export facility is available for exporting daily sales totals, individual line sales and sales by tender type for each month. These exports can be opened in a spreadsheet for use in your accounting package such as Quickbooks, Xero or others. To export daily sales simply navigate to the month you wish to export your sales for by clicking the 'Next' or 'Previous' button at the top of the calendar view of your sales. Scroll to the bottom of that screen and you'll see something like the view below.
Generating Reports and Exporting the Data.
Our very powerful reporting suite enables fast visibility across both online and in store sales giving you the ability to dig into your data like never before, discovering those vital statistics you need to really understand your sales patterns, best sellers, employee performance and more.
- Reporting Dashboard
The reporting dashboard features a simple overview of your total revenue, best day, best week and best month based on the filters you’ve set giving you a great at-a-glance view of store performance.
- Filtering report data
Any sales reports you choose can be filtered for a given range of days or months as shown below. In this instance we’ve selected the year to date;
If you don’t want to use any of the preset filters, you can also filter it to any given date range including a specific day by using our ‘Custom Range’ filter tool. It will bring up a calendar view as seen below where you can then select the dates you wish for your range, moving backwards historically by using the arrow buttons. In this instance we’ve chosen the 22nd of October 2014.
From here there are an array of reports you can run with the Advanced Reporting suite including daily, weekly and monthly sales. The data in each report can be easily exported as a .CSV file by pressing the green ‘Export Data’ button at the bottom right of each chart. Below you can see the daily sales report for our date range of the ‘Year to date’.
Below the graphical display of each report is a table of the data contained within the report. The daily sales report exposes each days trading figures; the total revenue for each day, the total tax paid, the total cost price of the items sold, the total gross margin and the profit margin expressed as a percentage.
The weekly sales report for our selected date range (Year to date) you can see below. This data is also exportable to a .CSV file by pressing the green ‘Export Data’ button
Below this graph is a table exposing the weekly sales data; the total revenue for each week, the total tax paid, the total cost price of the items sold for each week, the total gross margin and the profit margin expressed as a percentage.
The monthly sales graph for our hypothetical year to date looks like the following…
Below this graph is a table exposing the monthly sales data; the total revenue for each month of the year to date, the total tax paid, the total cost price of the items sold for each month, the total gross margin and the profit margin expressed as a percentage. Again this data can be exported as a .CSV file by pressing the green 'Export Data' button as shown above. These files can then be opened in a spreadsheet for use in an accountancy package.
You can add a further filter by clicking on the ‘+ Add Filter’ button at the top of the screen.
This will give you the option to look at the figures within the date range you’ve specified for each employee, device, location or item.
